If you're not using ONESOURCE User Administration, a separate system used to control access to many ONESOURCE applications on the platform, access to General Ledger Manager functionality is determined by User Administration settings. To display the page, administrators can choose User Administration from the Settings menu. User Administration contains a list of all General Ledger Manager users. The grid in this view displays the user name or ONESOURCE ID, the name, and the permissions assigned to each user. To edit a user's access permissions, highlight that user's row in the grid and then click Edit. Edit User Permissions appears.
Edit User Permissions dialog
The Edit User Permissions dialog enables the selection of four permissions for a user:
The Administrator permissions control the type of access the user has to the Setup area of General Ledger Manager. Module permissions control the nature of the access a user has to all other functionality, or that which is accessed through navigation commands below Setup. Read permissions provide read-only access. Write permissions provide full editing rights for a section. These same permission selections appear in ONESOURCE User Administration. A user with no access to General Ledger Manager should have none of the four permissions selected.
To aid in the assignment of permissions to a user, logical combinations of selections are selected automatically in certain cases. For example, if you assign Administrator Write to a user, Administrator Read, Module Write and Module Read are selected automatically, since no user would be given editing rights in Setup and not be given access to all other areas of General Ledger Manager.
Select the permissions you want to assign to the user and then click the Update button.
Record Locking on Edited Records
Two or more administrators cannot change or edit the same record in General Ledger Manager Setup at once. Therefore, when an administrator is editing a record in Setup, any other administrators who access it will only be able to read the last saved version of it. The message "This file is currently locked by [x]..." is displayed in the upper right corner of the record to indicate who is currently editing it. Once the administrator who is editing saves the changes to the record, then the record will be updated for all administrators and unlocked, freeing it for another administrator to edit.
Taking Possession of a Locked Record
If an administrator who is editing a record forgets to save and close it, leaving it locked, another administrator can click the "here" link in "Click here to take ownership." that appears after the message "This file is currently locked by [x]..." in the upper right corner of the record. The administrator who takes possession of a record can then decide to save or discard the other administrator's changes and close the record, unlocking it for other administrators.
