How to Edit an Import Layout

You may edit import layouts that are assigned to charts of accounts or ones that are unassigned. To edit one, select it in the list in Import Layouts and then click Edit in the menu bar above the list.

Note: If you try to edit a layout that has been assigned to a chart of accounts on which automatic upload of trial balances is activated, then a warning message will display to alert you that any changes you make may cause trial balance files that get automatically uploaded using the chart to be uploaded to the Import Queue with a status of invalid. If you want to continue to edit the layout, then click OK; otherwise, click Cancel.

When you click Edit, bypassing any warning message that might display, you will access the Edit Layout detail view showing the details of the import layout you selected for editing.

In Edit Layout, decide how you want to edit the import layout, either without using a preview of the trial balance file that will be uploaded, which is the default selection, or using a preview of the trial balance file.

Edit Import Layout Without Using a Preview of a Trial Balance File

To edit an import layout without using a preview of a trial balance file, do the following:

1. Under Choose the way in which you want to edit this import layout, accept the default selection of Enter a column letter for each required field, without a preview.
2. In the File Type field, you may change the delimiterA delimiter is the character that is used to indicate separate data items in a flat file. The data in flat files uploaded to General Ledger Manager may be delimited by commas, pipes, tabs, semicolons, colons, or carets. 5. In the Name your layout field, enter a unique name for the layout and click Create. Upon successful completion of editing an import layout, you will be returned to the Import Layouts list view.

Edit Import Layout Using a Preview of a Trial Balance File

To edit an import layout using a preview of a trial balance file, do the following:

1. Under Choose how to edit this layout, select Use a preview of a data file as a guide.
2. Click Select under Browse for the data file to select the trial balance file that you want to preview. Once you select the file, a File Attributes section will display above a preview of the data file that you chose.

To do this, click the Map to control over the column that contains trial balance data, and select the specific trial balance data field that it contains from a list. You must map Reporting Unit, GL Account Code, and Ending Balance to the columns that contain this data, respectively.
6. In the Name your layout field, enter a unique name for the import layout and then click Create. Upon successful completion of editing an import layout, you will be returned to the Import Layouts list view.
